Slack notifications

This chapter provides information on how to configure and manage Slack notifications.

Warning
  • The Slack notifications feature is available in Queues for Jira & JSM version 5.0.0 and later.
  • Before you start, log in as a user with the Jira Administrators global permission.
  • The Slack notifications feature supports up to 10 created connections, with each queue linked to a connection having a default issue limit of 1000, adjustable by admins through modifying properties.

Queues for Jira & JSM and the Slack app can be integrated using the Slack notifications feature. It enables connecting the organization’s Slack channels to specific queues. This way, users added to these Slack channels can receive notifications directly in the Slack app when new issues are added to the queues.

Thanks to this feature, the chances of missing a new issue added to the queue decrease, teams can react faster, and issue resolution time can be improved, increasing customer satisfaction.

Configuring Slack notifications

Warning

The Slack notifications feature supports up to 10 created connections, with each queue linked to a connection having a default issue limit of 1000, adjustable by admins through modifying properties.

The Slack notifications feature checks for new issues every 15 minutes.

To configure Slack notifications for a specific queue, follow the steps below:

Steps

  1. Navigate to Jira administration > Manage apps > Deviniti Queues > Configuration page > Slack notifications.

You are in the Notifications for new issues in Slack view. This view lets you create connections that pair queues and a webhook URLs generated in the Slack app. The created connection allows users to receive notifications about new issues in the Slack channel linked to the provided webhook.

  1. Click Create connection.

The New connection modal appears.

  1. Fill out the Connection name. To avoid confusion, we recommend naming your connection the same as the Slack channel where you’ll receive notifications.
  2. You can provide the Connection description to make it easier for users to understand its purpose and context.
  3. Paste the Webhook URL generated in your Slack app, which corresponds to the Slack channel to which you want to receive notifications.

To generate a corresponding webhook, you need to:

  1. Have a workspace created within your Slack app.
  2. Have a channel created within your Slack workspace to which you want to receive notifications.
  3. Create a Slack app from scratch.
  4. Activate Incoming Webhooks.
  5. Add New Webhook to Workspace and decide where should the created app post. You can add multiple webhooks within the created app.
  6. Copy the Webhook URL. Be careful who you share your Webhook URL with, because it allows anyone who has it to send any message to the channel.

Refer to Slack’s documentation to learn how to create a workspace, create a channel, and send messages using incoming webhooks (to complete points 3-6, refer to steps 1-3 of the linked chapter).

  1. Select one queue that corresponds to this connection. When new issues are added, users will receive notifications in the corresponding Slack channel.
  2. Configure the Notifications section. Notifications will be received in the Slack channel. The ALL NEW option is set by default and notifies about all new issues added to the queue. To customize which new issues users are notified about, select the CUSTOM option and use JQL.
  3. Click Create.

Result

A new connection is created and linked to the specific queue and Slack channel. The welcome message is sent to the linked Slack channel. From this point forward, all users added to the corresponding Slack channel will receive notifications about new issues added to this queue.

Tip

To receive notifications in your Slack channel with a direct link to the queue, turn on the Home container (global navigation) visibility toggle in the Queues for Jira & JSM configuration section. To learn how to do that, refer to the Global settings chapter. Notifications with this toggle disabled won’t have a direct link to the queue.

Managing Slack notifications

Warning

The Slack notifications feature checks for new issues every 15 minutes.

After adding your connection, you can see it in the table displayed in the Notifications for new issues in Slack view.

To access this view, navigate to Jira administration > Manage apps > Deviniti Queues > Configuration page > Slack notifications.

To add new connections, click the + Add new connection button.

The table presents all added connections, enabling you to check various information and perform specific actions on each connection.

Viewing the connection details

The Connection name and Queue columns display connection names and queues linked to them. Hover over a queue name to check the connection description.

Note

If Unknown appears instead of the queue name, the queue may have been deleted. Link a new one to restore the connection.

Checking the connection status

The Status column displays one of four statuses a connection may have:

  1. Success means that the connection is active and works as expected.
  2. Limit exceeded means the linked queue has over 1000 issues. Slack notifications are paused until the issue number is reduced. Admins can reduce the number of issues in the queue by modifying the relevant property. You can read more about that in the Atlassian documentation.
  3. Disabled means that the connection is turned off and the notifications are paused. Switch the toggle next to the Added by column to enable the connection and restore notifications.
  4. Failed may mean four different scenarios:
  • There was a failure to send notifications via Slack’s webhook. Go to the Slack app and check the webhook URL linked to this connection.
  • The queue linked to this connection may have been deleted. You should link a new queue.
  • An unexpected failure happened when sending notifications. Recheck it later, as it might be a temporary problem.
  • We couldn’t find the user who added the connection. Copy the connection to take ownership, then delete this version.

Hover over a status to see its explanation. Besides the explanation provided, you can also check when the last connection attempt was made.

Viewing connection creator details

The Added by column allows you to see who and when created and added each connection.

Note

If Unknown appears instead of the creator’s info, the user may have been deleted.

Managing connections

The last section of the table allows you to perform the following actions on each connection:

  • Enable/disable the connection by switching the toggle
  • Edit the connection
  • Copy the connection (The name of the new connection begins with the prefix “Copy…”.)
  • Delete the connection permanently
Note

Clicking the Edit button will display the Edit connection modal. This modal lets you update the connection details and includes the same fields as the New connection modal. You can read more about each field here.
